How Test Equipment Rental Works in Vietnam: Terms, Deposit, Delivery, E-Invoice

Renting test equipment from Lost in HCM takes four steps: request a quote, sign the agreement, receive the calibrated instrument, return or extend. Minimum term is one week, monthly and quarterly terms are cheaper per month, and every rental includes an ISO/IEC 17025 calibration certificate and a VAT e-invoice. This page explains each step, the deposit rules and what happens if something breaks.

Step 1 — Request a quote (1 working day)

Use the quote form or call 0902 327 669 with: model(s) or the measurement you need to make, quantity, start and end dates, delivery address or industrial park, and whether you need operator training. We confirm availability, calibration status, rental price and deposit terms in one working day. If the exact model is not in stock we propose an equivalent from another brand.

Step 2 — Rental agreement and deposit

  • Bilingual (EN/VI) rental agreement; e-signature accepted, company chop for Vietnamese entities.
  • First-time customers: refundable deposit (typically 10–30% of the instrument’s replacement value, stated in the quote) or a bank guarantee for high-value RF systems.
  • Repeat customers and established FDI companies: account terms, invoice at start of each rental period.
  • Rental period starts on the day of hand-over and ends on the day we collect or receive the unit.

Step 3 — Delivery, hand-over and training

  • Ho Chi Minh City, Binh Duong, Dong Nai: 1–2 working days by our own vehicle; VSIP I/II/III, Amata, Long Thanh, Nhon Trach, Tan Thuan EPZ and Saigon Hi-Tech Park are on regular routes.
  • Other provinces: insured courier, 2–4 days; Hanoi, Bac Ninh and Hai Phong deliveries are consolidated weekly.
  • Hand-over checklist covers serial number, accessories, self-test and certificate. Optional 1–2 hour operator training at hand-over (free for rentals of one month or longer).
  • Export-processing enterprises: we provide the asset-loan letter and packing list your customs broker needs.

Extensions: email before the end date; the new period is billed at the same rate. Early return: billed to the end of the current week/month, no penalty beyond that.

Calibration, accessories and what’s included

Every unit ships with the accessories listed on its model page (probes, leads, current clamps, software licences), the manufacturer’s manual, and an calibration certificate from the manufacturer or an accredited third-party laboratory. Calibration remains valid for the whole rental period; if a certificate would expire mid-rental we swap the unit at no charge.

Damage, loss and support

Normal wear is covered. Accidental damage is charged at repair cost; total loss at replacement value less rent paid. Optional damage waiver (percentage of rent) is available on the quote. Technical support by phone/Zalo during working hours; a like-for-like replacement is dispatched within 2 working days in the south if a unit fails.

Invoicing and payment

VAT e-invoice (hóa đơn điện tử) with your tax code per rental period. Bank transfer in VND; USD invoicing available for offshore entities with a Vietnam-registered branch. No online payment — every rental is quoted.

FAQ

Can I rent for less than a week?

Daily rental is available only for loaner units during calibration; otherwise one week is the minimum.

What if I need the unit longer?

Email or call before the end date — extensions are approved same day and billed at the same rate.

Do I need to return it to your office?

No. We collect in HCMC, Binh Duong and Dong Nai; elsewhere you ship with the packaging we provided.

Who is responsible for calibration during a long rental?

We are. If the certificate would lapse we exchange the instrument.

Can an overseas parent company sign the agreement?

The Vietnamese entity that receives the equipment must be party to the agreement; the parent may guarantee the deposit.
